How to Bulk List on eBay Using a CSV File

You can bulk list on eBay by creating a spreadsheet of your items and uploading it to eBay via the Uploads page in Seller Hub's Reports section, instead of listing items one at a time. To create a spreadsheet of your items, you can download eBay's official template (found on the Uploads page) and fill it out. Alternatively, you can use Resell Clerk's listing tool for eBay, which generates a spreadsheet of your items for you that is automatically formatted and ready to be uploaded into eBay.

How to Bulk List on eBay: Build Your Spreadsheet First

To create a bulk listing file on eBay, visit eBay and open Seller Hub, then click Uploads under the reports tab, click Get Template, choose Listings as the source, and then pick either ‘Create New Drafts’ or ‘Create or Schedule new listings’ as the template type. You can then download the template as a .csv or .xlsx file. This file can be opened and edited in Google Sheets (which is free to use) or Microsoft Excel. While editing, you can add as many new listings as you like to the template.

Once you've finished adding all your new items, save the template and upload it to eBay by visiting the Seller Hub, clicking Uploads under the reports tab, click upload template, then choose your file.

Difference between ‘Create New Drafts’ template vs ‘Create or Schedule new listings’ template

There are two bulk listing template types you can choose to download from eBay, ‘Create New Drafts’ and ‘Create or Schedule new listings’.

Create New Drafts

This option allows you to bulk list on eBay by creating new draft listings, with basic item details being added each draft listing, including title, description, price, format (e.g. ‘buy it now’ or auction) quantity, custom label (SKU), condition, category ID and a photo URL. Once you fill this template out and upload it to eBay, your new listings will appear under Listings > Drafts. Before publishing your listings, you need to open each draft listing in eBay and finish adding some final item details, such as shipping price and additional photos.

Create or Schedule new listings

This option allows you to bulk list multiple items on eBay which can be published instantly without any further action required once you upload your template to eBay. The ‘Create or Schedule new listings’ template requires more item details for each of your listings, and takes longer to fill out compared to the ‘Create New Drafts’ template.

Here you will need to add as many details as possible to each of your listings including title, description, price, format (e.g. ‘buy it now’ or auction) quantity, custom label (SKU), condition, category ID, photo URL, shipping cost, shipping method, schedule time (the date/time you want your listing to go live), item duration, best offer, whether you require immediate payment, seller location and whether returns are accepted. There are also additional fields that may be required depending on your item's category ID, such as colour, brand, model, and genre.

Adding all of the details above into a template for each of your new listings is where most eBay sellers spend a lot of time. Resell Clerk's bulk listing tool speeds up the process and saves time for sellers by automatically creating a bulk listing template for you, with your listing data already formatted and entered into the template.

How to Save Time when Creating Bulk Listings on eBay

Resell Clerk's listing tool for eBay is built around saving time during the bulk listing process.

The tool allows users to create templates for item descriptions, postage methods, and category IDs which can easily be applied to multiple items at once, saving you from writing the same descriptions over and over again. The tool also allows for easier item title generation, with space for title prefixes and suffixes which can easily be copied to multiple items at once.

Once your items are filled in, the tool exports your bulk listings to a CSV file which is formatted to eBay's standards and is ready to be uploaded directly into eBay via Seller Hub > Reports > Uploads.

How to Do a Bulk Listing on eBay Without Formatting Errors

If you are filling in eBay's template by hand, it's crucial that you enter all of your listing data as per eBay's formatting specifications. For example, the item condition field (Condition ID) must be formatted as follows: [condition code]-[condition name]. E.g. 3000-Used for used products, or 1000-New for new products.

You'll also need an image URL for each item, since the bulk listing upload won't pull photos straight from your computer.

Formatting one field incorrectly in your bulk listing spreadsheet can cause your entire upload to be rejected by eBay, meaning you will need to find the incorrectly formatted listing and amend it before trying to upload it again.

Common mistakes that can cause formatting issues include invisible characters that have been accidentally added to your data, such as a space at the end of a value. For example, if you typed “3000-Used ” (which has a space at the end) in the item condition field, eBay's system will reject your upload as it will not recognise the added space. This can often be a difficult issue to find as the space character is invisible (also known as a “ghost character”), the solution often involves clicking into each cell in your spreadsheet to ensure there are no added spaces in your bulk listing file.
